The County Archivist presented a report which outlined the work of the Joint Archive Service during the period March – May 2025. Use of the Service He reported on the figures relating the use of the service via its various platforms both in person and online. He referred to the welcome increase again in figures across the board, which is to be welcomed. Digest of Annual Statistics He outlined and compared the various figures for 23/24 and 24/25. He outlined that despite staff changes and reduced staffing levels over a period of time, the service continues to provide an excellent offer to the public and usage is growing steadily. The input and assistance of the Neath Antiquarian Society continues to be appreciated greatly. Members welcomed the increases and the excellent provision from the service at the two facilities in Swansea & Neath. Talks and Seminars He reported that two schools have received sessions during the period since the last meeting. The service has run a session for UWTSD students, and one for the Mumbles History Group. He reported that Emma Laycock attended an LGBTQ+ coffee morning organised by Sadie’s Butterflies to engage with members of their community, and to explain the work of the service and to try and recruit people to be interviewed for an oral history project which aim to record the lived experience of members of the community. He also outlined that for the first time, the service had a stall at Swansea Pride 2025 in collaboration with Swansea Museum. In May the service also hosted the launch of The First World War Diaries of David Rees Thomas, 3rd Welsh Field Ambulance, by Dr George Hook. The book is based upon records which are held within the Archives and record the writer’s experiences while on active service in the Middle East. Other Engagement and Joint Working He indicated that following a meeting in February with NAASH, the Neath Port Talbot secondary school head teachers’ group, Emma Laycock had followed this up by attending two meetings of the Neath Port Talbot Secondary School History Teachers’ Network to explain further the work of the service and promote its offer to schools. Attempts have also been made to organise the chance to speak to the corresponding primary school group, LLAN, but we have been told there was no capacity in the meetings to accommodate us during the current academic year. The aim now, is to speak to them in the next year. He outlined that the service continues to offer its services to schools in both authorities, and has already linked up and met with Harriet, NPTs heritage officer to try and further develop the link with NPT schools. He detailed that Emma Laycock continues to assist with a project at Swansea University entitled ‘Usable Pasts: Diversifying humanities teaching in Swansea Schools through disability history’. The project involves the development of teaching resources of disability history for local schools. He reported that following the inception of Neath Port Talbot Council’s blue plaque scheme, the service had contacted the responsible officer to offer our assistance, and we have already been helping with historical research into a building that forms the subject of a plaque nomination. Archives and Records Council Survey of Visitors 2024 He reported that the Archives and Records Council Survey of Visitors is conducted every two years and was carried out in the last two months of 2024. The survey replaces the PSQG Survey that used to take place every 18 months. It is a survey of visitors to archives across the UK to gauge their experience of visiting on that day. The results of the 2024 survey were published during the last quarter. He outlined that overall impressions were marked out of 10. West Glamorgan Archives’ average score was 9.7, putting the service comfortably in the top quartile in Wales. There were high levels of satisfaction with all the core elements of our service, including the standard of our paper catalogues, Welsh language provision, appointment system, welcome/reception, accessibility, verbal communication, appropriateness of staff advice and document production. There was less satisfaction with our IT equipment, which is largely relating to the fact that they date back to the Civic Centre project in 2008, so the machines are very outdated now by IT standards but will be replaced as part of the move to Y Storfa, which will improve the offer considerably, also with our online catalogue, which is currently in the process of being replaced. Preparations for Moving to Y Storfa He outlined that preparations for moving to Y Storfa continue and are on track to be finished in plenty of time for the move which is expected to begin towards the end of the year. During the past quarter, the remainder of the court registers were boxed and barcoded, representing a major milestone in the remaining work to be done. During the current quarter, work will move on to the remaining rolled plans and large flat items held in the collection. Archives Online Catalogue Project Update He outlined that at the last meeting he had reported the procurement of a package called Epexio by Metadatis as a replacement for our old archive cataloguing system. We made a trial upload of data from our existing system followed by testing, which proved successful. The final upload of data will take place later today and work will then begin on creating the public interface. It is anticipated that the work will be complete, and the new catalogue available, by the end of the current reporting quarter. Meanwhile, the lack of a dedicated portal is mitigated by the fact that all our catalogue entries continue to be made available on the Archives Hub. When this project is complete and our online catalogue is available to the public, we will continue to publish our catalogues on the Archives Hub in the interests of improved visibility. Digital Preservation Update He indicated that he has also reported previously about the procurement of Preservica as a digital repository on behalf of a Wales-wide consortium for digital preservation. Following formal training in January, we have developed a methodology for dealing with the records we hold and have rolled out training to all our staff. The task of uploading our existing digital records is ongoing and significant progress has been made to date. In the interests of sustainability, all staff are involved in the project. Staff He outlined that Emma Laycock was appointed Assistant County Archivist at the end of March. She was formerly the Archive Trainee in the service for 2006-2007 and was appointed to the post of Archivist here in 2019. This leaves the post of Archivist vacant, but this post is currently being advertised and it is expected to be filled in the coming weeks, and the service will finally return to a full complement of staff. Professional Meetings and Training He listed the various professional groups, meetings and training undertaken by staff had attended during the quarter. Fees and Charges for 2025/2026 He referred to the table of fees and charges for the service and detailed the various minimal increases that have been applied and will apply for 2025/2026. Resolved that the fees and charges for 2025/26 be approved. Accessions of Archive Collections He detailed the various archives received by the Service during the quarter.
