Laura Cotton (Glamorgan Archivist) presented the quarterly report describing the work of Glamorgan Archives for the period 1st June to 31st August 2025, and highlighted a number of key points. The Glamorgan Archivist provided a comprehensive update on the significant external funding secured for various projects, including digitisation, digital preservation, educational resources, and conservation work and support from Welsh Government and other bodies. The Glamorgan Archivist explained that the team is undertaking extensive digitisation work, supported by external funding, which includes acquiring additional equipment and staffing to accelerate the process. This work aims to improve access to records and is a key focus for the current year. Committee were advised that the team has continued to expand the digital preservation repository, now containing over 7,000 items. Efforts are underway to enhance catalogue descriptions and create electronic links between the catalogue and the preservation repository, streamlining access to digital materials. Committee noted that a successful funding application to the Welsh Government's Anti-Racist Wales Action Plan Culture Fund is enabling the creation of a new educational resource, building on a previous research guide into minority ethnic history and redeveloping the 'Coal and the Docks' workshop for schools. The Glamorgan Archivist advissed that the team is engaged in several conservation and cataloguing projects, including work on the Aberfan disaster records, Cardiff Castle plans, and Women's Institute records. These projects are funded through various grants and involve both physical and digital preservation activities. The Glamorgan Archivist highlighted ongoing collaborations with the Democratic Services team at the Vale of Glamorgan, the Aber Valley Museum, and other local authorities, focusing on the transfer and preservation of records, as well as conservation work on historical maps and disaster-related materials. The Glamorgan Archivist discussed the transition from using X (formerly Twitter) to Blue Sky and TikTok, explaining the rationale for the change in response to a query from Cllr Cowan and reporting on engagement levels across platforms. • Platform Transition: The team has mothballed its X account, following sector trends, and is focusing on Blue Sky and TikTok for outreach. The X account remains open for message responses, but active posting has ceased. • Engagement Metrics: The Glamorgan Archivist reported that Blue Sky has quickly gained over 250 followers, and TikTok posts, particularly one about Cardiff properties damaged during the Blitz, have achieved high engagement, with nearly 50,000 views in August. • Ongoing Monitoring: The team is monitoring engagement across all platforms, noting that Facebook and Instagram currently yield the highest interaction, and will continue to adapt their strategy based on results. The Glamorgan Archivist outlined the impact of external funding on staffing, including contract extensions and new hires, and celebrated the contributions of volunteers, with positive feedback from both staff and committee members such as Cllr Elaine Winstanley and Cllr Gwyn John. Committee noted that additional funding has enabled the extension of contracts for the corporate trainee and relief records assistants, as well as the hiring of an extra relief records assistant, to manage the increased workload from funded projects. Committee were advised that the team marked National Volunteers Week by highlighting volunteer contributions on social media and conducting an annual review, which yielded largely positive feedback and reinforced the importance of volunteers to the archives' operations. The Glamorgan Archivist acknowledged the challenges of managing multiple projects and staff absences during the summer, emphasising the team's efforts to maintain service levels and the importance of staff taking leave. The Glamorgan Archivist updated the committee on ongoing building maintenance and environmental sustainability projects, including lighting replacement, door repairs, and other facility upgrades funded by external grants. Committee noted that a major grant of over £300,000 is supporting environmental improvements, with the first phase focusing on lighting replacement, though progress has been slower than anticipated due to delays. Committee were advised that recent works to the building include the installation of new external doors, resolution of roof drainage issues, cleaning and pressure washing the building exterior, repainting car park lines, and upgrading the intruder alarm system to comply with new technology requirements.
