RESOLVED: To note the report.
Members were provided with the quarterly report describing the work and achievements of the Glamorgan Archives for the period 1st March – 31st May 2024. The Archivist highlighted a number of key points, including the launch of their research guide to sources for the study of minority ethnic history on 27th March. This was the culmination of a year of work, funded by the Welsh government, and feedback so far had been overwhelmingly positive. She also highlighted ongoing digital preservation and outreach work, which were major priorities, as well as new archive guidance which would be shared with other archives across Wales. Collections week had just taken place and the next one would be in November. There had been some staffing changes, most importantly the loss of two administrative officers, whose replacements were now in post. The sustainability of the archive building was a key area of interest, and a full lighting replacement would help them to meet their carbon reduction goals, but this would be a major undertaking requiring grant funding. The Senior Archivist gave further information on the results of the Distance Enquiry Survey, highlighting significant improvements in the responder’s views of the promptness of responses and ease of navigation, which were both flagged as areas to improve last year. People were also happier with the website, reflecting tweaks they had made to it to improve the customer experience. Overall, she felt they were broadly back to business as usual following the challenges of the pandemic. The Chairperson invited questions, comments, and observations from Joint Committee Members. Members welcomed the results of the survey as a positive indictment of the service, and advocated sharing the message more by inviting the press in. The Committee discussed income generation, and how the archives could best utilise the spaces they had. Members discussed Cymru 365 and Black History Month, and the photos of the Tiger Bay uprising in the early 20th century and suggested inviting Windrush Elders to contribute their views on this. RESOLVED: To note the report.

Members were provided with a comprehensive outline of the report and all its key headings. The Committee was informed that the outturn was much better than originally anticipated. The accountant had previously reported that they would need to draw on their reserves but a surplus of around £40,000 had actually been achieved. This was largely due to higher income and lower utility costs than expected. The Chairperson thanked officers for their work on the report. There were no questions from Joint Committee Members. RESOLVED: 1. To note the outturn position for 2023/24. 2. To agree that the draft Audit Wales Annual Return for 2023/24 be noted and signed.

Councillors must say when they have a personal link to something being discussed, such as a job, a property or a family member. A prejudicial interest is one strong enough that the councillor usually leaves the room and takes no part.
